The client’s goal was to streamline their digital operations while continuing to use their existing claims system, PowerBroker. By leveraging Zoho for insurance agents, we delivered a fully automated, integrated platform that greatly enhanced both client experience and internal processes.

We transformed the client’s website into a smart lead-generation tool by integrating Zoho SalesIQ for live chat engagement with visitors. Zoho Forms replaced the traditional contact page to capture service requests and inquiries. All incoming leads were directed to Zoho CRM for insurance brokers, where they were automatically sorted by insurance type and assigned to the appropriate agent.
We customized Zoho CRM to suit the brokerage's needs, adding a “Policies” module to track coverage details, renewal dates, and claims history. We also created three separate pipelines—Personal, Commercial, and Renewals—each with tailored automation rules and dashboards. This structure enhanced insurance workflow automation and provided better visibility over policy lifecycles.
We integrated the client’s RingCentral phone system with Zoho Desk. This ensured that all calls, whether from new inquiries or existing customers, were automatically logged and linked to the relevant client record, allowing support agents to access call history and streamline issue resolution.
We integrated Zoho Social and Zoho Campaigns to centralize communication from social media platforms like Facebook and Instagram, as well as email campaigns. Social media messages were automatically captured as leads in Zoho CRM, and email campaign metrics were linked to individual contacts, helping the sales team engage with prospects more effectively using insurance policy management software insights.
Client forms were redesigned using Zoho Forms and integrated directly into Zoho CRM to automate insurance operations. Renewal and contact update forms were pre-filled with CRM data, reducing manual input. Upon submission, these forms updated client records and triggered workflows, streamlining policy renewal processes - a major step forward in insurance workflow automation.
We automated key documents, such as policy summaries and agreements, using Zoho Writer, Zoho Sign, and Zoho WorkDrive. Templates pulled CRM data to generate documents for digital signing via Zoho Sign, and once signed, documents were securely stored in Zoho WorkDrive and linked to the client record.
We developed a secure client portal using Zoho Creator, allowing clients to log in, view and download policy documents, update contact details, and check renewal dates. This self-service portal reduced the volume of calls and emails to the support team.
While PowerBroker continued to manage underwriting and claims, we integrated it with Zoho CRM for insurance brokers to sync client data and documents between both platforms. This allowed agents to access all necessary client information from within the CRM without switching between platforms.
Zoho People was implemented to manage employee directories, attendance, and leave tracking. Managers had access to dashboards for team oversight, and employees could view schedules and submit time-off requests within the platform.
We used Zoho Bookings as part of the Zoho One implementation to simplify the scheduling of client consultations by sharing personalized scheduling links. Meetings were synced automatically to calendars and CRM follow-up tasks. For virtual meetings, we used Zoho Meeting to generate meeting links and send reminders.
