Shopify–QuickBooks Online Integration Built for QuickBooks Marketplace

At Infomaze, we collaborated with one of the top UK-based eCommerce businesses using Shopify and QuickBooks Online to create a bespoke app for the QuickBooks Marketplace. Our solution aimed at streamlining all the key processes like order syncing, inventory handling and payment monitoring between Shopify and QuickBooks.

By merging these two systems we assisted our customers to simplify their operations, reduce manual processes and keep correct financial records with ease.

Challenges Faced by the Client Before QuickBooks Shopify Integration

Time Consuming Manual Entry

Our customer was having the challenge of manually entering all orders, payments and customer information into QuickBooks, which not only consumed a lot of time but also made them prone to errors.

Inaccurate Inventory Levels

Without real-time Shopify and QuickBooks inventory sync, stock levels were often inaccurate, leading to stockouts or overselling of products.

Delayed Financial Reporting

With orders and payments being manually tracked, producing good financial reports was a laborious and ineffective process, which resulted in slow key business decisions.

Mismatched Order and Payment Data

Order and payment discrepancies on Shopify and QuickBooks introduced numerous inconsistencies in financial data that make it challenging for our client to maintain their books up to date.

Long Refund Process

Previously, our client’s refund and return process was fully manual and frequently caused delays and out-of-sync financial records.

Multi-Currency Challenges

Handling foreign sales required hand-conversion of currencies, a time-consuming and error-prone process that impacted financial entry accuracy.

Our Shopify And QuickBooks Integration Solution

To bridge these operational inefficiencies, Infomaze created a complete Shopify and Quickbooks online integration solution that provided real-time synchronism between Shopify and QuickBooks Online. Our solution automated essential business processes and removed manual intervention.

Below is the list of key features we implemented:

Automated Order Synchronization
Shopify orders are automatically imported into QuickBooks as sales transactions, including customer information, product details, taxes, shipping charges and discounts. This automated feature avoids missed orders and prevents the entry errors associated with manual import.
Real-Time Shopify and QuickBooks Inventory Sync
Stock quantities remain in alignment on both Shopify and QuickBooks at all times. If a product is sold in one place, stock quantity will be updated automatically in the other. This prevents overselling or stockouts and maintains inventory records up-to-date on both systems.
Auto-Invoicing and Payment Tracking
For each Shopify order, we generated auto-created invoices in QuickBooks and payments made by credit card, PayPal or other gateways are tracked effortlessly. This maintains the financial records up-to-date and manual reconciliation is avoided.
Hassle-Free Refund & Return Management
When a return or refund is triggered on Shopify, it automatically updates QuickBooks with adjustments to inventory and credit notes. This eliminates admin tasks and provides accurate, real-time records.
Multi-Currency Support for Global Sales
To facilitate cross-border transactions, the integration supports automatic multi-currency conversions. It refreshes exchange rates and converts amounts into the base currency of the client in QuickBooks, maintaining consistency and accuracy in international financial reporting.
Admin Dashboard for Full Visibility
We developed a tailored Admin Dashboard that provides the client with complete visibility of sync operations. From tracking sync statuses to logs review and syncing issues resolving manually, the dashboard places maximum control in the client's hands and prevents issues from arising before anything goes wrong.
Smart Error Handling & Real-Time Alerts
Our integration includes intelligent error detection and instant alerts. If anything goes wrong during the sync process, the client is notified immediately, allowing for quick resolution without disrupting ongoing operations.
Bulk Import/Export Capabilities
Managing large volumes of data is simplified with bulk import/export functionality. Whether it is uploading products or migrating data, this feature saves time and makes it easy to manage Shopify and QuickBooks data efficiently.
Syncing of Shipping Charges and Payment Methods
Shipping costs and payment information from Shopify are synced automatically to QuickBooks. This delivers full financial accuracy by capturing all revenue, tax and shipping information to make accounting easier and clearer.
