MS Access Database Migrated to a Secure Cloud Platform

We have migrated an MS Access application over to the cloud, which was accomplished without any downtime or loss of data. This seamless MS Access database migration helped the client and its team to continue working on the project without interruption. The cloud migration services provided more mobility, eradicated issues related to database locking, and, being a true cloud solution, gave them the flexibility to access the application from wherever they wanted.

Challenges Faced By the Client

The client was using a homegrown MS Access application that was primarily used for generating permits and other documents based on various business criteria. However, the application had been built many years ago and came with several limitations, making the case for cloud application modernization:

Lacked Modern User Interface:

It lacked a modern user interface and had poor overall usability.

Database Locking with Multi-User Access:

Because multiple users within the organization accessed it, it frequently caused database locking issues, resulting in errors and disruptions.

Data Duplication and Limited Visibility:

There were instances of data duplication, and the system offered limited visibility into the stored data.

Missing Key Features:

Orders could not be properly synchronized, resulting in discrepancies in stock levels while causing delays in updates to customer orders.

Client Requirements for Cloud Application Modernization

When the client approached us for help, they clearly outlined a few key priorities that would guide the MS Access database migration:

Maintain continuity

They wanted to ensure there was no data loss or system downtime during the migration. Ensuring data integrity was critical while planning to migrate MS Access data.

Minimal UI changes

Since the users were not very tech-savvy and were used to the existing system, they requested that the user interface stay as similar as possible to reduce the need for retraining.

Cloud access

They wanted the application to be accessible from anywhere via modern browsers. This requirement made it essential to move Access database to cloud.

Office 365 compatibility

Users were comfortable with Office 365 and Outlook, so the solution needed to align with Microsoft-based workflows.

Autosave functionality

The forms used in the application were quite large, and users wanted an autosave feature to avoid losing entered data.

Role-based access

Post-migration, the client also wanted to implement user-based roles and permissions.

Dashboards and reporting

These were identified as future enhancements the client wanted once the migration was complete.

Our Approach

Understanding the Users and Environment

We started by identifying the types of users who would be using the application. Most of them were not technically advanced but were familiar with using Office 365 tools. Therefore, we made sure the new solution had an intuitive UI with minimal learning curve, essential for successful cloud application modernization.

Technology Selection

We evaluated different technologies and platforms for hosting the new application. Our primary considerations included:

  • Hosting costs
  • Performance and scalability
  • Compatibility with Office 365
  • User-friendly interface
  • Future-proofing for additional features like dashboards and reports

All these aligned with choosing the best approach to migrate Access database to cloud using reliable cloud migration services.

Replicating the UI and Workflow

We took a copy of the original Access solution, including a subset of older data, to replicate the user interface and forms as closely as possible. This included maintaining the exact form layout, tab order, flow of data entry, and field validations and dependencies. By doing this, we ensured that users would feel comfortable with the new system, minimizing the need for extensive retraining.

Implementing Key Features
  • Autosave:

This was built into the forms so users wouldn’t lose data if they had to switch screens or step away. They could pick up where they left off.

  • Modern Views:

We upgraded the list and record views with modern UI elements. Users could filter data, sort columns, and use a smart search to find records quickly.

  • Smart Search:

Implemented search logic that ranks results based on relevance and field weightage.

These upgrades were part of our cloud application modernization strategy to improve usability and functionality.

Beta Rollout & User Feedback

After developing the solution, we provided a trial version to the client. The permit generation and licensing process were customized to include the client’s branding, enhancing the overall look and feel. We also upgraded the layout by using modern forms and generating the output in PDF format, which was a significant improvement over the older printed output from the MS Access application.

The solution was rolled out on a beta basis, and comprehensive training was conducted for the users. It was an instant success. Users were extremely happy with the new system, as they no longer had to worry about upgrades or maintenance. Since the solution was now browser-based, it worked seamlessly across all modern browsers and platforms, providing them with greater flexibility and ease of use.

Data Migration

We planned the database migration services meticulously. Over seven years of historical data from the old MS Access database was cleaned and migrated over a single weekend. Our team worked diligently to ensure:

  • No data loss
  • Zero downtime
  • Proper formatting and integrity of all records in the new system

When users returned on Monday, they were working on the new system without any interruptions. This made the move Access database to cloud project an internal benchmark for the client.

The migration of the MS Access database was a complete success, and the client was extremely satisfied with the outcome. Key benefits delivered include:

  • Zero Downtime and Data Loss:

The migration was completed without affecting daily operations, ensuring no data was lost.

  • Improved User Experience:

The new system was intuitive, reliable, and easy for users to adopt, leading to increased satisfaction.

  • Increased Productivity:

With better access, fewer errors, and a faster interface, productivity levels improved.

  • Remote Accessibility from Any Device:

Users could now access the application from anywhere, improving flexibility.

  • No More Database Locking or Duplication Errors:

The cloud solution eradicated these issues, leading to smoother operations.

  • Modern, Searchable, and Sortable Views:

The upgraded UI allowed users to filter, sort, and search for records more effectively.

  • Branded, Printable PDFs for Permits:

The system now generated permits and licenses in a professional, branded PDF format.

Next Phase and Future Enhancements

Due to the success of this project, the client has now initiated the next phase of development, which includes:

  • User Role Management
  • Advanced Reporting and Dashboards
  • Automation of More Business Processes

The client also sees potential in integrating other applications and expanding the solution to support additional departments.

Conclusion

This project demonstrates how a well-planned MS Access database migration to a cloud-based application can transform business operations without disrupting existing workflows. By understanding the users, preserving familiar processes, and introducing modern technology where needed, we delivered a future-ready solution with immediate benefits.
